These terms and conditions ("Terms") govern the rental of charter buses ("Services") provided by Charter Bus Rentals ("Company", "We", "Us", or "Our"). By booking our Services, you ("Customer", "You", or "Your") agree to be bound by these Terms.
Important Note: These Terms constitute a legally binding agreement between You and the Company. Please read them carefully before proceeding with your booking.
2. Booking and Payment
2.1 Reservation Process
All reservations require a signed contract and deposit to secure your date(s). Reservations are confirmed only upon receipt of:
Completed signed rental agreement
Required deposit payment
Valid credit card information for incidentals
2.2 Payment Terms
Payment schedules are as follows:
Deposit: 25% of total estimated charges due upon booking
Final Payment: Balance due 15 days prior to charter date
Last-Minute Bookings: Full payment required for bookings made within 7 days of charter date
3. Cancellation Policy
Cancellations must be made in writing. Refund amounts are determined based on notice period:
More than 14 days notice: Full refund minus 10% administrative fee
8-14 days notice: 50% of total rental charges
7 days or less notice: No refund
Weather Policy: Charters operate rain or shine. We reserve the right to cancel or modify itineraries due to unsafe conditions at our sole discretion.
4. Vehicle Use and Restrictions
4.1 Permitted Use
Vehicles may only be used for transportation purposes as outlined in the signed rental agreement. The following are expressly prohibited:
Smoking of any kind (including vaping) in the vehicle
Consumption of illegal substances
Transportation of hazardous materials
Standing while vehicle is in motion
Unauthorized operation of vehicle systems
4.2 Vehicle Capacity
Passenger count must not exceed the certified seating capacity of the vehicle. Federal regulations strictly prohibit overloading.
5. Customer Responsibilities
Customer agrees to:
Provide accurate passenger count and itinerary information
Ensure all passengers follow driver instructions and safety regulations
Be responsible for any damage caused by passengers
Provide accessible pickup/drop-off locations for vehicles
Designate a group leader/safety coordinator for large groups
6. Company Responsibilities
Company agrees to:
Provide vehicles in safe, clean operating condition
Employ licensed, professional drivers
Maintain all required insurance coverage
Make reasonable efforts to adhere to published schedules
Communicate promptly regarding any service disruptions
7. Liability and Insurance
The Company carries liability insurance as required by law. Customer's personal insurance is primary for:
Personal property loss/damage
Personal injury claims not resulting from Company negligence
Incidents occurring while passengers are not onboard
Customer agrees to indemnify Company for claims arising from Customer's breach of these Terms.
8. Miscellaneous
8.1 Governing Law
These Terms shall be governed by the laws of the state where the Company is registered.
8.2 Entire Agreement
These Terms, together with the signed rental agreement, constitute the entire agreement between parties.
8.3 Changes to Terms
Company reserves the right to modify these Terms at any time. Current version will always be available on our website.
